BFCM Segments in Klaviyo: Exclusions, Overlaps and Skipped Profiles
Your BFCM segments exist, they are populated, and their conditions are right. One question is still open, and the segment builder never asks it: who actually receives the campaign? Between membership in a segment and the email that goes out, Klaviyo applies a chain of documented rules: deduplication, exclusions, the moment the audience snapshot is taken, suppressions, consent and Smart Sending. Each one can remove recipients, or let some through, without you touching a single segment condition.
This article follows that chain in order. It builds on 9 Klaviyo Segments to Build Before BFCM, which describes the segments to build, and adds what to check at send time.
TL;DR. A campaign sent to a segment does not go to all of its members. Klaviyo deduplicates, applies your exclusions, then drops profiles that are suppressed, lack valid consent or were recently hit by Smart Sending. By default, the audience snapshot is taken when you click Schedule campaign, sometimes days before the send. A customer who orders between scheduling and sending therefore stays in the promotion's audience unless Determine recipients at send time is checked. On a BFCM operation prepared days in advance, that one setting decides who receives what.

The four layers between a segment and a send
Four mechanisms follow one another. Mixing them up produces most of the count discrepancies people discover on send day.

Layer 1: a dynamic segment updates at different speeds
Klaviyo describes segments as dynamic: they grow when profiles meet the conditions, shrink when they stop meeting them, and update in close to real time (Klaviyo, getting started with segments). The page on how segments update adds two nuances that matter during a peak (Klaviyo, how segments update).
The first concerns relative time windows such as "in the last 30 days". A profile whose own action makes it qualify for a segment, or stop qualifying, is processed immediately. Profiles that enter because a past action falls into the window, or that leave because time passes, are processed once every 24 hours. Klaviyo gives the example of a segment of buyers "between 30 and 60 days ago": it adds and removes profiles once a day.
The second concerns delays. A manual segment update can take up to 15 minutes, and a monitored segment up to an hour. The getting-started page also asks you to give a large segment time to populate before you schedule a campaign.
For BFCM, that gives three rules. Create your exclusion segments at least the day before the first scheduling. Do not expect an intraday recalculation for the boundary crossings of relative windows, which are processed once a day: the 30-60, 60-90 and 90-180 day repurchase segments in our guide to the 9 segments rely on that kind of window. Finally, to exclude weekend buyers, the condition Klaviyo documents (Placed Order, at least once, in the last N days) adds a customer as soon as they order.
Layer 2: composing the send, including, excluding, deduplicating
A campaign accepts up to 15 groups, lists or segments, as inclusions (Klaviyo, sending to multiple lists or segments). Klaviyo automatically deduplicates profiles that appear more than once, so that no recipient gets the campaign twice. The + Don't send to button removes the members of a list or segment from the send (Klaviyo, excluding lists or segments).
The expected recipient count is calculated in this order:
- all profiles in the included groups are added together;
- duplicates across included groups are subtracted;
- profiles in included groups that also belong to an excluded group are subtracted;
- unsubscribed contacts and global suppressions are subtracted.
Two practical points follow.
Deduplication works inside a single campaign. A VIP who is also on the waitlist and in the 60-to-90-day buyers segment receives one email if you include all three groups, but it is the same email for everyone. Different offers belong in separate campaigns, and each campaign excludes the groups served elsewhere. Between two separate campaigns, the documentation we reviewed provides no deduplication: only your exclusions, and Smart Sending within its window, stop a profile from receiving two offers.
A segment draws from all profiles in the account, with no implicit sign-up criterion (Klaviyo, getting started with segments). The campaign builder then drops profiles without valid consent, but Klaviyo advises confining a segment to a list before you send it an email campaign (Klaviyo, lists and segments). The conditions reference describes the If someone is in or not in a list condition as a best practice for campaigns, and suggests adding If someone cannot or can receive marketing set to can receive, joined by an AND connector, to count the members you can actually contact (Klaviyo, segment conditions reference).
An exclusion that does not exist as a named segment cannot be applied. The layout below is an example split for a BFCM operation, to adapt to your offer. Each send carries two lists written before scheduling: the groups included and the groups excluded.

Excluding recent purchasers, as Klaviyo documents it
The dedicated page suggests creating a Recent purchasers segment defined as What someone has done > Placed Order > at least once > in the last 3 days, then adding it under Don't send to (Klaviyo, excluding recent purchasers). The window adapts to your business, and the page mentions 24 hours or 10 days as examples. It adds a warning: for an email scheduled at a future date, check Determine recipients at send time during the scheduling step.
The reason for that warning sits in the next layer.
Layer 3: the audience snapshot
The moment Klaviyo freezes the recipient list comes down to one checkbox in the scheduling step.

The scheduling options page puts it this way: when the option is unchecked, Klaviyo takes the snapshot the moment you click Schedule campaign, and people added or removed afterwards do not show up in the send list (Klaviyo, campaign schedule and send options). In most scheduled campaigns, someone who unsubscribes before sending begins is still filtered out. The skipped-profiles page points the same way: for a campaign that only goes out several days or weeks later, the target list can grow or shrink in the meantime, and without the option the campaign goes to the snapshot taken when you scheduled it (Klaviyo, troubleshooting skipped profiles in email campaigns).
An illustration: you schedule on Tuesday the campaign that goes out Friday morning, with the recent purchasers exclusion. A customer who orders on Thursday was not in the recent purchasers segment on Tuesday. If the option is unchecked, they are in the promotion's audience and receive it on Friday. If it is checked, the snapshot is taken as close to sending as possible, they now belong to the exclusion segment and do not receive the promotion.
Four more points from the documentation complete the picture.
- The account default is Scheduled time. It can be switched to Send time in the account settings (Settings, then Messaging), which is restricted to the Owner, Admin and Manager roles, and it can also be chosen campaign by campaign (Klaviyo, when a campaign's recipients are determined). The page warns that with Send time, an audience that has grown a lot since the campaign was created may use more Mobile Messaging spend (that is, sends) than estimated, trigger an automatic upgrade or require a plan change.
- With sending in the recipient's local timezone, Klaviyo prepares the recipients before the first send and does not re-evaluate the audience before each timezone. A profile that unsubscribes after that snapshot but before their local send time can still receive the campaign, while being excluded from later marketing sends. For a send limited to France, a single timezone avoids this case.
- The Gradual send option sends the campaign in batches of 1% to 50% of recipients, every hour or every minute. The page presents it as useful for avoiding a website traffic spike and for pacing the send to support deliverability. It cannot be combined with an A/B test.
- Sends can be slightly slower on the hour and the half hour. The page suggests typing a minute value outside the 15-minute intervals, for example 3:04 p.m. rather than 3:00 p.m., and reminds you that a few minutes can pass between the scheduled time and delivery.
If the campaign contains Klaviyo unique coupon codes, the number of codes generated must also cover the audience at send time: when the option is checked and the actual number of recipients exceeds the number of codes, the extra recipients are skipped (Klaviyo, unique coupon codes for Shopify).
Layer 4: what still removes recipients at send time
The counts page explains why the estimated audience in the campaign builder is often smaller than the segment size: on top of membership, it applies suppression status (unsubscribed, bounced), consent for the channel and Smart Sending rules when they are on (Klaviyo, segment counts and estimated audiences). The final count is set at send time, from a snapshot of everyone who still qualifies and is eligible to receive messages.
For email campaigns, Klaviyo lists the reasons a profile is skipped: unsubscribed, marked an email as spam, hard bounce, invalid email (certain role-based addresses, shared by a group, are skipped automatically for this reason), manually excluded, Smart Sending, and suspicious email, meaning an address whose bounce history suggests it is fake or inactive (Klaviyo, troubleshooting skipped profiles in email campaigns). Their number appears in the campaign overview report, and the detail sits in the Recipient activity tab (Other menu).
Smart Sending: a 16-hour timer per profile
Smart Sending is on by default for all campaigns. The default window is 16 hours for email and 24 hours for SMS and push, each channel having its own window (Klaviyo, Smart Sending). Klaviyo recommends keeping it on for most, if not all, marketing emails. Three rules on that page weigh on a BFCM weekend.
- The timer starts for every profile Klaviyo tried to deliver the message to, including when delivery fails after the message leaves Klaviyo (a bounce, filtering by a provider). The page ties it to no open. Profiles skipped by Klaviyo (Smart Sending, filters, excluded groups) do not have their timer restarted.
- Messages skipped because of Smart Sending are not rescheduled automatically.
- A message sent without Smart Sending goes to every profile in its audience and resets their timer to the current window.
One direct consequence follows. A reminder sent less than 16 hours later (with the default window) to those who did not open the first campaign is skipped for all those profiles if Smart Sending is on, because the timer started at the first delivery. The same page states that an A/B test whose profiles are all skipped is cancelled automatically, and the campaign then has to be resent.
Keeping or turning off Smart Sending on a given send is a trade-off the documentation does not settle. Decide it campaign by campaign, write the decision down, and check the effect in the skipped profiles after the send. Sender-reputation filters
Depending on the account, two mechanisms also shrink the audience.
The first is reputation repair. It applies to accounts with a deliverability score below 50 that are not in guided warming and meet other volume and engagement criteria. Klaviyo then automatically excludes unengaged profiles from campaigns: the Exclude unengaged profiles box is checked by default, and the engagement period widens in phases of 30, 60, 90 and then 120 days (Klaviyo, reputation repair AI). The page on sending to multiple lists notes that the expected recipient count can differ from the actual number because of this mechanism.
The second is Audience Optimization, available on the Marketing Analytics and Advanced KDP packages. A predictive model removes from a campaign the recipients unlikely to engage or convert, or likely to unsubscribe. You turn it on in the Audience step once an audience is selected, the toggle does not appear while the account is in reputation repair, and the removed profiles are listed under Recipient activity, Optimized tab. Klaviyo also holds out a randomly selected control group that receives the campaign without optimization (Klaviyo, Audience Optimization).
These two mechanisms do not apply to every account. If yours is affected, an "entire list" send may not reach the entire list, and the sending plan should start from the real number rather than the list size.
Following up with non-openers over the weekend
Klaviyo's automatic follow-up (Add a follow-up email) requires a delay of at least 2 days (48 hours) and at most 30 days. It only targets profiles that opened or clicked an email in the last 30, 60 or 90 days, needs a deliverability score above 50 and does not work with an A/B test (Klaviyo, follow-up to non-openers). It therefore cannot serve a reminder the same evening or the next day.
For a faster reminder, the same page describes the manual route: a segment combining Received Email at least once, Opened Email zero times and Clicked Email zero times, each condition filtered on the campaign name, with an optional recent-engagement condition (for example an open in the last 60 days). You then clone the campaign and send it to that segment. Two settings on the page bear directly on the weekend: turn off the option that skips recently emailed profiles if the resend falls inside the Smart Sending window, and check Determine recipients at send time if the campaign is scheduled. Klaviyo also warns that resending to non-openers who never engaged, or have not engaged in over 90 days, can damage your sender reputation and land your emails in spam.
Why four numbers never match
On send day, several counts coexist. They measure different things.

To reconcile these gaps, Klaviyo recommends comparing three things: the audience definition, the send-eligibility rules (suppression, consent, Smart Sending) and the time at which each number was taken (Klaviyo, segment counts and estimated audiences).
Checklist for the day before the first campaign
- Every send has its list of included groups and its Don't send to list, written before scheduling.
- The recent purchasers segment exists (Klaviyo's page suggests at least one order in the last 3 days, a window to adapt) and appears in the exclusions of every promotional campaign.
- Determine recipients at send time is checked on every campaign scheduled in advance, or the account setting is switched to Send time with the effect on send volume understood.
- Segments have been populated for at least a day.
- Every campaign segment is confined to the main list, and the number of reachable members was checked with the can receive condition.
- Smart Sending is decided send by send, reminders included, and the decision is written down.
- The gap between segment size and estimated audience is explained by the documented causes (suppression, consent, Smart Sending, and reputation repair or Audience Optimization if the account uses them).
- The send time is not a round hour: 3:04 p.m. rather than 3:00 p.m.
- After the send, Recipient activity is opened to read the skipped profiles and their reasons.

FAQ
Does a customer who orders after scheduling still receive the campaign?
Yes, if they were in the audience at the snapshot and the option is unchecked: by default, the snapshot is taken when you click Schedule campaign. Check Determine recipients at send time so that the recent purchasers exclusion applies to the state of the segment at send time.
How many segments can a campaign include?
Up to 15 groups, lists or segments. Profiles that appear in several groups receive the campaign only once.
Why is the estimated audience smaller than my segment?
Because on top of membership it removes suppressed profiles, profiles without valid consent for the channel and profiles Smart Sending would skip. Depending on the account, reputation repair and Audience Optimization can also reduce the final number.
Does Klaviyo resend to profiles skipped by Smart Sending?
No. Messages skipped because of Smart Sending are not rescheduled automatically. To reach those profiles, you have to resend the campaign, turning off the option that skips recently emailed profiles if you are still inside the window.
Should I switch the account setting to "Send time"?
The documentation describes a trade-off without settling it for you. Send time keeps the audience current, but can use more sends than planned if your lists grew a lot. The setting is decided at account level by an Owner, an Admin or a Manager, and it can also be changed when you schedule each campaign.
